Webb's Dog Security Group respects your privacy. This notice covers personal information provided through this website, by email or by telephone in connection with security enquiries and related business communications. It should be read alongside any separate terms or information supplied for a specific security assignment.

1. Who we are

If the legal person or company behind the trading name changes, this notice and the controller details will be updated.

2. Information we collect

Depending on how you contact us and what you ask us to do, we may collect:

  • your name;
  • email address and telephone number;
  • the site, property, town, area or postcode connected with your enquiry;
  • the security service you are interested in;
  • dates, hours, access details and operational requirements you choose to provide;
  • the content of messages, emails and other correspondence; and
  • information reasonably required to prepare a quote, arrange an assignment or manage an existing customer relationship.

Website and technical information

The custom contact form uses a short-lived technical anti-abuse check based on a one-way value derived from the visitor's IP address. It is used only to limit repeated form submissions and expires after a short period. The website hosting, email or security infrastructure may also create normal technical logs needed to operate and protect those services.

Sensitive information

Please do not include special category information, criminal offence information or other highly sensitive personal details in the website enquiry form unless it is genuinely necessary for the security service you are asking about. If such information is required for a specific assignment, it should be discussed directly so that an appropriate and lawful handling method can be agreed.

3. How and why we use personal information

We only use personal information where there is a lawful reason to do so. The main purposes and lawful bases relevant to this website are:

Protecting the website and preventing misuseLimited technical and security informationLegitimate interests in keeping the website, enquiry system and business communications secure.

Submitting an enquiry does not sign you up to a marketing list. Website enquiry details are not used for unrelated electronic marketing simply because you contacted us. If marketing is introduced in future, the appropriate UK GDPR and PECR rules will be followed and this notice will be updated.

4. Who we may share information with

Personal information is not sold. It may be shared only where reasonably necessary with categories of recipient such as:

  • website hosting, email and IT service providers that process information on our behalf;
  • people involved in delivering or administering the security service, where they need the information for the assignment;
  • professional advisers such as accountants, insurers or legal advisers where appropriate;
  • payment, banking or accounting providers where a customer relationship involves financial transactions; and
  • police, regulators, courts, public authorities or other parties where disclosure is required by law or is necessary to establish, exercise or defend legal rights.

Service providers acting as data processors are expected to handle personal information only for the agreed purpose and to protect it appropriately.

International transfers

Some technology or email providers may process information from locations outside the UK depending on the provider and service configuration. Where UK data protection law requires safeguards for an international transfer, an appropriate recognised transfer mechanism will be used or the provider will be selected on another lawful transfer basis.

5. How long we keep information

We do not aim to keep personal information indefinitely. Retention depends on why the information is held and whether an enquiry becomes an active quote, assignment or customer relationship.

  • WordPress enquiry records: private copies created by the website contact form are automatically scheduled for deletion after approximately 12 months.
  • Email correspondence: may be kept for longer where needed to respond to an active enquiry, manage a quote or service, keep an appropriate business record or deal with a complaint or legal issue.
  • Customer, transaction and accounting records: may need to be retained for longer periods where tax, accounting, insurance, contractual or other legal requirements apply.

When information is no longer required for the purpose for which it is held, it should be securely deleted or anonymised where practical.

6. Your data protection rights

Depending on the circumstances and the lawful basis being used, you may have rights including:

  • the right to ask for access to personal information held about you;
  • the right to ask for inaccurate information to be corrected;
  • the right to ask for information to be deleted in certain circumstances;
  • the right to ask for processing to be restricted in certain circumstances;
  • the right to data portability where the legal conditions are met;
  • the right to object to certain processing based on legitimate interests; and
  • rights relating to solely automated decisions with legal or similarly significant effects, where applicable.
Your right to object

If personal information is being processed on the basis of legitimate interests, you can object to that processing. We will consider the objection and stop the processing unless there are compelling legitimate grounds to continue or the information is needed for legal claims.

This website does not make solely automated decisions about whether to provide security services or quotes. To exercise a right, contact info@webbsdogsecuritygroup.co.uk. We may need enough information to verify your identity before acting on a request.

7. Cookies and similar technologies

Cookies are small pieces of information stored by a website in a browser. WordPress uses cookies for functions such as administrator authentication and may set a temporary test cookie around the login area. These are used for website administration and essential platform functionality.

If optional analytics, advertising, embedded media or other third-party tools are added later and they use non-essential cookies or similar storage technologies, the site will need to provide appropriate information and, where PECR requires it, obtain consent before those technologies are used. This policy should also be updated to identify the relevant tools and purposes.

You can control or delete cookies using your browser settings, although blocking essential cookies may affect login or other website functions.

8. Keeping information secure

Reasonable technical and organisational measures are used to protect personal information against unauthorised access, loss, misuse or disclosure. These include limiting access to website enquiries, using HTTPS for the website, using WordPress security controls, and keeping unnecessary personal information out of public-facing website content.

No internet or email system can be guaranteed to be completely secure. If you need to send information that is particularly sensitive, contact Webb's first so an appropriate method can be discussed.
